Hot Zones

Our focus in this article is to explain the Hot Zone of KAPTO, a powerful tool used for document data extraction. Readers will clearly understand the importance of the Hot Zone feature and how it can enhance the functionality of the KAPTO system.

A Hot Zone is a specific area selected for data extraction in a PDF document that has been added as a Template, and the selection rectangle used to define the hot zone area is called the Target Zone.

In the context of KAPTO, the Hot Zone is used to extract data from specified parts of a Document to improve efficiency. In general, Hot Zones help the AI Model that is used in the first phase of image processing in KAPTO to do the image registration because the HotZone allows the AI to register the images: in case the scanning process has produced distorted pictures of the document to be processed, having specified Hot Zones will help the AI in quickly locating the elements to be extracted. HotZones are beneficial when working with complex documents containing much extraneous data. For example, when processing legal documents, such as contracts or agreements, numerous text sections may be irrelevant to the extraction process. By defining Hot Zones for the required information, the system can focus on those areas and reduce the risk of errors or false positives. This can significantly improve productivity and workflow efficiency, mainly when working with complex documents or large volumes of data.

Users can create Hot Zones for different aims in document processing.

1. Hot Zone is necessary for Checkmark detection because KAPTO’s checkmark detection identifies checkmark regions in scanned documents and determines their status, whether marked or unmarked.

Note: Checkmark entity can be detected only in Template documents; if you haven’t added a template in Category, it is impossible to add a checkmark entity

2. It can be used for Signature: defining Hot Zone for Signature means that the AI process will detect only Signatures in a specific area.

3. In invoice processing, the Hot Zone can extract data such as invoice number, vendor name, and total amount due from specific areas of the invoice.  

 

How to configure Hot Zone

The Hot Zone is highly configurable, allowing users to define the exact area (Target Zone) of a document where data extraction should occur. This can be done through a user-friendly interface that enables the selection of specific pages, areas, or even individual data points within a document.

To configure a Hot Zone, follow these steps:

1.    Go to Manage> Categories.

2.    Select a Template based Category and click the Edit button.

 

3.    Now, you can edit the uploaded document using the tools available in the toolbar. 

4.   Select a Target Zone that delimits Hot Zone.

NOTE: The outlines of the selection rectangle - target zone - must coincide with the area that contains the hot zone. In the case of checkmarks, for example, the outlines of the target zone must coincide as precisely as possible with the square where the checkmark will be marked.

5.   To create a hot zone, provide a name and a description of what is contained in that specific target zone and give a description. Click the Apply button to save. 

6.     When you have created all the Hot Zone you need, click the Save button to save the Template with all Hot Zones you have made.
